Customize the sender email address from Privacy Cockpit.

This document outlines all the steps to follow in order to allow the modification of the email mask used for responding to data subject rights requests and for sending your questionnaire campaigns.

Our platform allows you to handle data subject rights requests and, in particular, to respond directly to requesters by email. If you do not configure the sender email address, emails will be sent from noreply@datalegaldrive.com.

To allow customization of the sender email address, the following steps must be followed.

The settings presented in this user guide aim to prevent emails sent from the platform, using your domain name, from being flagged as spam or triggering security alerts within your system.

These steps must be completed so that our support team can authorize the email mask setup in your environment.

 

Summary:

Configuring SPF Records :

This configuration can be independently carried out by your IT team.

An SPF record defines which domains and mail servers are authorized to send emails on behalf of your domain.

This step is essential to allow access to sender email address customization.

Below are the SPF records your IT service must add to your DNS:

  • If you already have an SPF record, simply add:
    include:com.datalegaldrive.com
    • Example:
      "v=spf1 include:mydomain.com include:com.datalegaldrive.com -all"

Configuring the DKIM Key:

Defining the Sending Domain Name

To configure the DKIM key for our platform, we recommend defining a specific sending domain name.

Emails from the platform are sent via the Brevo tool. Creating new records with your main domain name could create conflicts if you already have DKIM records associated with that domain.

For example, if your main domain is @domaine.com, define a new domain like @rgpd-domaine.com for platform-related records.

Registering the Domain with Brevo:

Once the domain name is set and communicated, our DevOps team can proceed with its registration in Brevo.

This step allows us to obtain the 3 DNS records, which will then be provided to you.

Configuring the 3 DNS Records:

You only need to forward these records to your IT team, who can now configure them.

Activation by the Support Team:

Once the configuration is complete, our support team will authorize the domain names in your environment and enable the sender email customization option.


Customizing the Sender Email Address from Your Entity:

Once configured, you can go to the gear icon in the "Data Subject Rights" module, select the desired domain name, and customize the identifier.

You can check the configuration by clicking on "Receive a test email".
