New "Third Parties" step: A unified management of External Recipients and Cross-Border Flows

We are simplifying the management of External Recipients and Cross-Border Flows within processing activities. These two steps are now merged into a single step: "Third Parties", providing a clearer and more structured approach.

Key changes and improvements

  • A Single "Third Parties" step

    • External Recipients and Cross-Border Flows are now grouped together for smoother management.
    • More intuitive and organized classification of third parties involved in a processing activity
  • Improved interface & optimized data structure
    • A redesigned interface for better readability and management of third parties and associated flows.
    • An enriched third-party table with additional attributes for more precise definitions and qualifications.
  • Automatic data migration

    • All existing data related to external recipients and cross-border flows has been migrated automatically, requiring no action from users.
    • All previous qualifications, guarantees, and legal bases remain unchanged.
  • Updates to the record and exports

    • The record and exports now reflect the new "Third Parties" structure.
    • Data fields have been updated to ensure consistency across records and reports.
    • New filters have been added for refined searches.

 

Evolution of processing model sharing

Relaxation of sharing rules

Previously, an entity could only share its processing models with its child entities in a hierarchical structure. Now, sharing can be extended to any accessible entity, regardless of hierarchy, allowing for greater flexibility in managing and utilizing processing models.

  • Key changes & improvements
    • A processing model (open or restricted) can now be shared with any entity the user has access to.
    • A dedicated interface allows users to manage processing model visibility.
    • A new indicator has been added to visualize entities with access to a model.
    • Only users with the "Publish processing models" permission can share a model with other entities.

Maintaining links between models and their originating processing activities

Currently, when a model is created from a processing activity, the original processing remains completely independent. With this update, users can now choose to maintain a link between the processing and the model it was created from. This allows automatic updates to be applied to the processing activity when changes are made to the model.

  • Key changes & improvements
    • New option during model creation: Users can enable a checkbox “Link this processing to the model” to keep the connection.
      • If enabled: The processing remains linked to the model and will receive updates automatically.
      • If disabled: The processing and model function independently, as before.
    • Linked processing activities will automatically inherit modifications made to the associated model.

 

 

Addition of the "Number of Data Subjects" column in the record and export

A new column "Number of Data Subjects" has been added to the register, providing better visibility on the impact of processing activities based on the volume of affected individuals.

  • Key Changes & Improvements
    • New column in the record: Displays the number of data subjects for each processing activity, based on data entered in the "Data" step of the processing activity.
    • Filtering capability: Users can filter processing activities using greater-than and less-than operators to quickly identify high or low-impact processing activities.
    • Export updates: The "Number of Data Subjects" column is now included in PDF and XLS exports, reflecting the interface data and applied filters.


 

Bug fixes

  • [DSR] - Discussion thread unavailable : Users were unable to access the discussion thread in the DSR module. This issue has been resolved, and the discussion thread is now fully functional again.
  • [Repositories] - Missing Data Categories in the list : Some data categories were not appearing in the dropdown list, although they were accessible via the search bar. This issue has been fixed, ensuring all available categories are correctly displayed.
  • [Processing model] - Crash at "External Recipients" step : A bug caused a crash when users reached the "External Recipients" step while creating a processing model. This issue has now been resolved.
