Focus on Analytics & PIA

This release is dedicated to the Analytics module and the Privacy Impact Assessment (PIA). The new features offered in this release are just the first step in an ongoing improvement process for both of these modules.

Analytics: New features

Boosted engine

First off, to save you time, the analytics dashboards load a whole lot faster!

Consolidate your data

With the former Analytics module, results were generated for just one entity at a time. Now, you determine the scope by selecting the entities you want to include. Select the entities (or Select all) and click Show report to view the consolidated results.

In order to be able to select several entities at once, when you select Analytics in the Management menu, a dedicated window opens.

 

 
Monitor your processing activities and PIAs

The Analytics module now breaks down into two sets of graphics.

  • Risk exposure dashboard

Contains the existing graphics and a few new ones, such as a graphic that breaks down processing activities by responsibility. Some of the existing graphics have also been redesigned for greater clarity.

 

  • Activity monitoring dashboard

We’re working on a whole new set of monitoring tools. The first two available in this release cover processing activities and the PIA. In future releases the monitoring dashboard will be extended to other activities such as actions and data subject requests.

Select one or more entities, choose a start and end date, and click Show report.

 
 
Then view the daily trends for each activity.
 

PIA: New features

PIA first, processing activity after

Privacy Impact Assessments are designed to identify whether the processing activity considered is likely to result in a high risk to the rights and freedoms of natural persons. In accordance with GDPR Article 35, a PIA should be conducted before creating a processing activity. To be consistent with this approach, when creating or importing a PIA in the GDPR software, the processing activity field is no longer required.

 

Complete PIA sections in any order

You are no longer required to complete or to validate the sections of a PIA in chronological order! You can go directly to the section you want to fill in or validate. Indicators allow you to keep track of what has been completed and what remains to do. A green check shows completed sections.

 

A more PDF-friendly PIA

You can now export a PIA in PDF format. The PIA does not have to be complete. You can export a partially complete PIA at any time.

 

In addition, each time the PIA workflow changes status, a PDF is automatically generated in the PIA History.
 

 

 
More flexibility with import formats
  • Before: To import a PIA, the file had to be named pia.json. It also had to be contained in a .zip.

  • Now: You can name the json file any way you want. In addition, a .zip is no longer required.

New permissions

A new permission has been created, and two others have been merged into one.

 

 
Validate processing

A new permission, Validate processing, has been added. Only persons with this permission now appear in the dropdown lists for selecting validators (they also appear in the lists for selecting drafters).

 

 

There are also now two separate fields in the Add new processing dialog box: one for selecting drafters and one for selecting validators.

 

Update processing

The two permissions Save processing and Update processing’s name have been merged into a single new permission, Update processing, which combines the rights of the previous two. Persons with this permission appear in the dropdown lists for selecting drafters.
