Customer actions for DSR configuration

This article explains how to configure your system so that your DSR email replies will not be redirected to your data subjects' spam folders.

The GDPR software offers a data subject request (DSR) module that allows your organization to send replies to data subjects or request additional information via the software. The replies are sent by email, and the DSR module allows you to customize the name and email address of the sender.

However, since the actual sender is Data Legal Drive, the sender address and the actual sender won’t match, meaning there is a good chance your emails will wind up in the data subject’s spam folder. This article shows you how to configure your system to avoid this.

Configuration

DSR configuration is in two parts:

  1. Configure your DNS.

  2. Set up the DSR module in the GDPR software.

Note: If your organization consists of several entities that will be using different email domains, you must perform the procedure for each domain.

 

To configure your DNS:

  • In order to obtain the correct value for entering in the DNS of your domain, please contact technical support.

Tip: You can also use an SPF record checker to verify that your SPF record is valid (e.g. http://www.dmarcanalyzer.com/spf/checker/)

 

To set up the DSR module:

  1. In the GDPR software, in the sidebar, click Requests from data subjects.

  2. At the top right, click More actions More actions and click Set up data subject requests module.

  3. In the Sender field, enter the sender’s name.

  4. In the Email address used to reply field, enter the email address you will use to reply to data subject requests.

  5. Click Save.

  6. Create a dummy DSR and send an email via the GDPR software to verify that it is successfully sent and received.
