What's new in version 6.4

Version 6.4 marks the arrival of our first developments around our actions module, which will be completed in the coming weeks. Also discover our new system of business views available on the actions and processing modules.

Summary


Initial developments of our Actions module

Starting with this version and in subsequent versions, we will gradually introduce new developments to improve the management of actions in your GDPR solution.

In this version 6.4, we begin with a review of the design and ergonomics of the user path related to the management of actions from the different modules. We have also taken advantage of this stage to make initial functional improvements, taking into account your various feedbacks.

You will soon discover new features in the next versions that will add even more value to this module, enabling you to manage your GDPR compliance even more effectively.


Actions List

From the menu Pilotage -> Actions in your menu, you can access the list of all the actions of your entity.

This list view has been completely revised with the introduction of business views that allow you to have a view (filters, columns and sorts) that can be adapted to your needs (for more information: business view of actions)


New window for creating an action

The window for creating your actions has undergone a complete facelift and we have taken advantage of this to add new elements to your actions.

In this new interface you will find:

  • The name of the action
  • Its description
  • The person(s) responsible for the action
  • The observer(s)
  • The status of the action: a new status has been added to enable you to place an action on hold
  • The priority: Low, Normal & High
  • New The impact : Low, Normal & High

This new field complements the priority field and allows you to introduce a second dimension in the assessment of your risks by following the principles of the Eisenhower matrix (find out more). These fields remain optional; you are not obliged to use them if they are not useful to you.

  • New  The Tag(s) associated with the action:

It is now possible for you to assign one or more tags to your actions. This will enable you to categorize your actions according to your needs and to search using these criteria from the list of actions.

  • Dates & Deadline: this area allows you to set the start and end date of your promotion, as well as the parameters for your 2 reminders before the deadline (if an end date has been set).

We will supplement this information with the possibility of entering the time spent processing this action in a future version.

    • Action-related documents
    • Action-related elements: these are the elements of the application to which you wish to link your action (a processing operation, a request to exercise a right, etc.). If your action is a “generic” action for your GDPR compliance (for example: making all my employees aware of personal data protection), you are not obliged to link it to an element

If the action is created from an element of the application (for example, Processing), the link is then automatically established without you having to perform this operation.


The new window for creating an action is available in 2 formats depending on the context in which it is used.

From the list of actions:

Displaying it in full-page mode allows you to concentrate fully on entering your action.

From another module of the application:

The display in the form of a sliding window (drawer) allows you to maintain visibility on the context related to this action and facilitates the return to the element to which the action is linked once it has been created.

 


View/modify an action

Viewing/modifying an action from the list of actions or from another element to which the action has been linked uses the sliding drawer principle described above.

The aim is to enable you to keep the context from which you are viewing this action available and to facilitate your user experience by enabling you to find your starting point for navigation effortlessly.

If you have the associated rights, you can modify the action viewed. A second window then displays the action in edit mode

 


New business filters


Principle

In recent weeks, we have been working on improving the ergonomics of the list views of our various modules.

Analysis of your user feedback has enabled us to significantly develop these views by proposing several improvements to your journey, all based on the principle of business views.


What is a business Filter?

A business filter represents the goal you want to achieve when you consult a list of items.

Let's take a concrete example from the list of your processes:

When you consult the list of your processes, it is most of the time for a specific purpose such as to quickly access your processes that remain to be completed or to carry out an analysis of the control of your risks on the processes.

On the one hand, you mainly need information such as the completion rate in Article 30 or in extended mode. On the other hand, you want to focus on the sensitivity of your processing or the level of control of your risks.

A business filter is therefore a pre-configured view containing:

  • The data (columns of your list) necessary to achieve your purpose.
  • The associated filters
  • The sorting of your list optimized to meet your needs.

Let's illustrate this concretely with our new view for monitoring the completion of art.30/extended processing, including:

  • The main information on the processing: its Name, its Type, the associated domain, the Editor and Validators of the processing, the entry mode, the status and the art.30 and extended completion rates.
  • When loading the view, the processing is sorted by art.30 completion rate
  • And you have the main filters necessary for using the view.


The suggested views are not fixed. You can at any time :

  • Add/remove a filter (if the one you are looking for is not present or, on the contrary, if you think it is not necessary) :

  • Customize the columns in your view (using the notched wheel available at the top right of the list)
  • To sort on one or more columns (taking into account the sort selection order)

In the example below, the list is sorted by Status (#1) then by completion rate art.30 (#2).

Tip: your personalized view is maintained during your navigation. If you wish to return to the initial view, you can use the “Reset view” action.

These new views have been integrated into this version on the action and processing modules. You will find them very soon in your register and in the management of your requests to exercise your rights.


Application on the processing list

Your business Filters available on the list of your processes:

  • All processes (default view)
  • My Processes
  • My Processes to be completed
  • Follow-up completion art30/extended
  • Processes reviewed more than 1 year ago
  • Shared processes
  • Processes as manager
  • Processes as subcontractor

We have taken advantage of this change to the list of your processes to make additional improvements based on your feedback:

  • Monitoring the completion of your processes
  • The “Completion rate” column previously showed the 2 completion rates for Art. 30 and extended. However, the Art. 30 completion rate was only visible when hovering over the line. We have separated the two completion rates into separate columns to allow you to easily work on monitoring the two rates.
  • New Editors and Validators filters
  • Previously, only the manager filter was available. This filter did not allow for the identification of the processing where the user was specifically an Editor or Validator. We have added two new filters to meet this need.
  • Addition of information related to risk management
  • The sensitivity identified, the level of risk management and the number of actions taken are now available as a column in the list and as filters (only for the first 2)

Processing/Processing Record PDF Export

We have made further improvements to the PDF export of your processing/registry, optimizing the formatting and greatly improving its readability. The gain in terms of space used is more than 40% compared to the previous version.

 


Corrective actions taken

Processing creation: default drafter/validator not selected

In some cases, the Draftor and Validator fields were not pre-filled with the user's information when a processing was created. This issue has been corrected in this version.

Processing Record PDF Export: case of shared processing to an entity

When exporting an entity's register in PDF format, if it contained processing shared by other entities, the export generated as many PDFs as there were entities sharing the processing. This issue has been corrected in this version.

Processing PDF Export

Exporting the PDF of a processing failed in the case of the presence of certain invalid characters. This issue has been corrected in this version.

Processing  - Impossibility of changing a purpose

For certain processings, the change of purpose was rendered impossible. This issue has been corrected in this version.

Processing - Add a data category

Depuis la nouvelle page données, l'ajout d'une nouvelle catégorie de données depuis le raccourci situé en haut de page entrainait un message d'erreur. Ce point a été corrigé dans cette version.

Processing  - Impossibility of withdrawing a department entered as an internal recipient

It was impossible to remove a department that was listed as an internal recipient of processing. This has been corrected in this version.

Processing - Drafters / Validators management

We were informed of difficulties in the selection of editors/validators. A fix has been applied to this new version.

Processing & Record - display of processing and processing record on certain entities

Several corrections have been made to this version to address these issues.

Processing & Record - PDF/XLS Export - security measures in English

In the PDF/XLS exports of the processing and processing record, the security measures systematically appeared in English. This issue has been corrected in this version.

Record - Cross Border Flow Filters

The filters for legal guarantees and countries have been modified (change from free search format to list format).

Action - Impossibility of unlinking a document when adding an action / Impossibility of unlinking an action from a software

When creating an action, it was impossible to unlink a document added during the creation of the action. This operation had to be carried out once the action had been created by opening the action again. A similar problem made it impossible to unlink an action previously linked to a Software. These points have been corrected in this version.

Entity creation - No link between Processing and data categories stored

When creating an entity from a template containing processes, the link between the processes and the data categories was not retained. This issue has been corrected in this version.

Software - Import

We have made various corrections to the software import functionality in this version.

Anticorruption - Documentation

In the Practical Documentation module of our Anti-Corruption solution, it was impossible to consult the documents located at the bottom of the page. This issue has been fixed in this version.

Anticorruption - Navigation Menu

On low-resolution screens and/or laptops with font scaling options configured, the navigation menu of our Anti-Corruption solution was overloaded by a scroll bar. We took advantage of this update to optimize this behavior.
